Turning P&IDs into a Shared Data Model Across Engineering Teams

When working on a P&ID, you rarely have all the information upfront.

You might define a pump with flow and pressure requirements or place a vessel with design conditions, but details like manufacturer, part numbers, or motor specifications often come later, from different teams.

In most workflows, this creates a disconnect. Process engineers move ahead with design, while procurement, electrical, or mechanical teams maintain their own spreadsheets. Data gets passed around in emails, manually updated, and eventually needs to be re-entered into the P&ID or reports. It works, but it is inefficient, and errors tend to creep in. A more structured approach is to treat the P&ID as a central data model, not just a drawing.

With Visio P&ID Process Designer, this becomes practical through XML-based export and import. At any stage, you can export equipment or component data—say pumps, valves, or instruments, into a structured XML spreadsheet. The export can be configured to include specific fields, including those that are currently missing.

That file can then be shared with the relevant team. A buyer can fill in vendor details. An electrical engineer can populate motor specifications.

They don’t need access to the software, just the spreadsheet. Once updated, the file can be imported back into the project. The system maps the data directly to the corresponding objects and provides a verification window to review changes before committing them.
